Chapter Coordinator

The American Society of Consultant Pharmacists located in Alexandria, VA is accepting applications for a Chapter Coordinator to provide support to ASCP Chapters and Affiliated Organizations.  Responsibilities include managing the start up of new chapters and maintaining rosters of chapter officer/liaison positions. Responsible for ongoing and as needed membership surveys. Responds to requests for membership information and other customer service inquiries. Has a working knowledge of the basic new member and existing member renewal processes as well as how to conduct mass member communications utilizing the existing association management system. Serves as a backup to Director of Membership and Chapter Relations.

Essential duties and responsibilities include the following.  Other duties may be assigned.


  • Coordinates general chapter mailings such as special meeting announcements, balloting, registrations, and newsletters
  • Coordinates chapter nominations and election of chapter officers
  • Receives and reviews chapter financial transactions and processing through A.P.
  • Coordinates listings of chapter/affiliate leadership groups in Association Management System (AMS).
  • Coordinates chapter meeting information including email announcements, website postings, and meeting creation in AMS.
  • Reviews and distributes monthly financials to Chapter officers.  Handles inquiries from chapters regarding their monthly statements.
  • Creates and distributes monthly Chapter membership reports such as pending renewals, lapsing and new members rosters that require special attention at the local level.
  • Provides ASCP marketing collateral in support of local Chapter events on an as needed and requested basis
  • Updates chapter meeting calendar and chapter web pages on ASCP.com
  • With ASCP meetings department, schedules and coordinates chapter breakfasts and lunches at ASCP national conferences.
  • Serves as main point of contact for all student chapters
  • Acts as staff liaison between chapters and all ASCP departments
  • Maintains and updates ASCP website with chapter/affiliate information
  • Support the efforts of the Chapter & Affiliates Committee including meeting minutes, ftp site maintenance, and development of program for September leadership meeting in order to enhance the groups effectiveness.


  • Resource and organization “expert” in development of standard and customized database reports
  • Creates and administers all internally issued membership generated surveys to members or non-members and publishes results
  • Assist with membership database updates of address changes
  • Assist with membership renewal entries upon request
  • Respond to requests for membership information as well as general ASCP information and understand the mission of ASCP members
  • Responsible with Director or Membership for development of chapter, general membership and AMS in-house training manuals
  • Develop a working knowledge of new member and existing member renewal processes as well as how to conduct mass member communications utilizing the existing AMS system. 
  • Serves as a backup to Director of Membership.
  • Knowledge of receptionist’s roles and responsibilities, share relief for lunch and breaks to the receptionist on an as needed basis.

Must have good oral and written communication skills, be customer service oriented, have the ability to effectively and efficiently handle multiple calls and able to respond to complaints and inquiries in a courteous and friendly manner.  Must have the ability to prioritize assignments, work on a variety of tasks simultaneously and independently, take direction from a variety of people and work as a team player. Be detail oriented.  Computer knowledge with word processing, spreadsheet and database knowledge helpful.  Filing skills essential.  Possess strong interpersonal, organizational and time management skills. Degree preferred. Association and customer service experience helpful.
